How to Stay Present When You’re Managing 100 Moving Parts
Event coordination requires you to manage multiple things all at once.
Timelines. Vendors. Attendees. Expectations. Problems you didn’t see coming.
And in the middle of all of that…
You.
The challenge is:
Your mind starts jumping ahead even when you can relax or should just focus on one thing!
This prevents you from being able to prioritize.
You’re thinking about what’s next, what could go wrong, what still needs to be handled. You’re scanning, anticipating, adjusting constantly. You're always on.
And while that’s part of what makes you great at what you do…
It also pulls you out of the present moment.
Your Hidden Pattern: You’re Always Giving
Here’s what doesn’t get talked about enough:
Event coordinators are natural givers and doers.
You are constantly focused on everyone else’s experience.
• Is the client happy?
• Is the team aligned?
• Are guests taken care of?
• Is everything running smoothly?
So what happens?
You start sacrificing your own needs without even realizing it.
You skip meals.
You ignore stress signals. Or don't even notice them.
You push through exhaustion.
Because there is always something else that needs your attention.
And over time, this creates a disconnect:
You’re physically present…
But mentally and emotionally, you’re everywhere else.
Why Presence Matters
When you’re present, everything changes.
• You make better decisions because your brain isn’t overloaded
• You communicate clearly instead of reacting under pressure
• You reduce mistakes because your attention is focused
Presence is what allows you to lead in real time, not just manage chaos.
And most importantly…
Presence brings you back to yourself. You deserve that.
Here's a Super Simple Reset You Can Use Starting Today
When you feel your mind racing or your body tightening feeling a push forward and you wished you could slow down, physically pause where you are for just a moment and ask yourself:
What matters most right this second?
Not in 10 minutes.
Not after the next task.
Now.
This question cuts through the internal and external noise and brings your focus back to what’s actually in front of you.
Then take one breath and redirect ALL your attention there.
That’s it.
One Task at a Time (Even in Chaos)
Your brain is not designed to multitask at a high level.
It’s designed to focus.
Even when it feels like you’re juggling 100 moving parts, what’s actually happening is rapid task-switching, which drains your mental energy and increases mistakes.
Instead, train yourself to anchor:
One task. One moment. One focus.
Finish what’s in front of you, then move to the next.
This doesn’t slow you down, it actually makes you more efficient and more effective.
In the Marine Corps we used to say, "Slow is smooth and smooth is fast." Anchor in that.
The Shift You Need to Make Moving Forward
Presence isn’t about slowing down.
It’s about being fully where you are.
And for you, this is bigger than productivity.
It’s about learning that you don’t have to sacrifice yourself to take care of everything else.
Because when you are grounded, clear, and present…
You don’t just manage the event better,
You experience it differently.
And that changes everything because it changes you.
