And what I’ve noticed being inside these rooms, speaking at events, and working closely with coordinators is this:

Most event coordinators are operating in a constant state of stress… and no one is talking about it.

You’re expected to:

  • Keep everything running smoothly

  • Anticipate problems before they happen

  • Manage people, energy, and expectations

  • Stay calm even when everything is falling apart

And when you do it well?

Most people don’t even notice. Yeah, it was a great event, but YOU were the one carrying the weight.

At almost every event I’ve been part of, there’s a moment I recognize instantly.

There’s an event coordinator:

  • Moving quickly, holding everything together

When I’ve asked:

“How can I support you?”

I’ve seen genuine surprise.

Not all speakers are grounded.
Not all speakers are emotionally intelligent.
And not all speakers are there to serve the room.

Some are there to:

  • Be validated

  • Use the stage as a place to process their own experiences

And when that happens, you feel it.

2. Orienting to Your Environment

Look around and name:

  • 5 things you can see

  • 4 things you can feel (with your eyes closed)

  • 3 things you can hear (with your eyes closed)

This pulls you out of stress and back into the present moment.

3. Physical Grounding

Press your feet firmly into the ground.

Feel your body in space.

This stabilizes your nervous system quickly—especially during high-pressure moments.

A New Way to Choose Speakers (This Will Change Everything)

If you want less stress during your events, this is one of the most important shifts you can make:

👉 Start evaluating speakers based on emotional intelligence, not just content.

Ask yourself:

  • Do they listen as well as they speak?

  • Are they present or jus performing?

  • Do they create connection or just deliver information?

  • Does their energy feel grounded in humility or ego-driven?

Because here’s the truth:

👉 Ego creates stress.
👉 Regulation creates connection and transformational energy.

And the speakers you choose directly impact your experience.

Before, During, and After: Your Nervous System Strategy

Before the Event

  • Prioritize sleep and recovery

  • Mentally rehearse calm execution

  • Set the intention: “I don’t have to carry everything alone.”

During the Event

  • Use grounding techniques in real time

  • Take micro-pauses when possible

  • Stay aware of your internal state not just external tasks

After the Event

  • Give your body time to reset

  • Avoid jumping straight into the next task

  • Reflect on what worked and what didn’t
